PPR DATA COLLECTION APP FOR CONSULTATIVE WORK IN PPR

Optimising data collection by digitalising workflow with a focus on statistics.

PPR GLADSAXE MUNICIPALITY

The Challenge

The department of PPR in Gladsaxe Municipality was using pen and paper to document the data their employees was collecting regarding the consultative and preventative work they were doing with children and young adults, in the social sector.

They also needed to know both the effect of their work and the number of different types of cases the municipality were working on. Documenting with pen and paper made it difficult for them, if not impossible, to pull statistics from the work they were doing.

The Result

Symmetric developed a tailor-made app for iOS and Android to replace the pen and paper tasks in their daily routines.

PPR, Gladsaxe Municipality were allocated funds to optimise the workflow in the early consultative and preventative work they do, to determine if further action needs to be taken, regarding certain children or young adults. They chose Symmetric Sammetric to consult in the matter, based on our skillset, knowledge and experience in workflow design and app development.

 

To start with Symmetric Sammetric hosted workshops with employees with different professions to map out the current tasks’ workflow from every angle. With a visual flowchart of existing workflows, we could start to develop ideas and mockups of the app. It was important for us to include people with all the relevant resources and skillsets in the process, to make sure that the final product would give the desired value.


PPR, Gladsaxe Municipality was closely involved in the design and development process.

Wireframes were presented after initial interviews and workshops, as a first draft to what the flow of the app could look like. Wireframes became mockups and ideas started to become visible in the product. After a few iterations Symmetric Sammetric produced a functional prototype, which the client could navigate through. This prototype, along with the requirements specification, became the foundation of development.

 

Beyond the functionality in the prototype, the client also drew attention to other specific technical areas. These areas were divided into categories and were discussed with relevant parties.

 

With the final version of the requirements specification completed, it was time to revise the time schedule and start development. Even though the requirements specification was very thorough, we still had an agile approach to the development process. To make sure that hypothesis and practical use matched, we had a new testable version of the app after each sprint, so that the client could test the newly added functionality and confirm or deny that it did indeed harmonise with their everyday work.

 

In the end the client received a version of the finished product, that they could start using in a selected district. This district became responsible for testing out and getting to know the app as well as educating their colleagues in other districts.

After the approval of the app, it was uploaded to AppStore and Google Play Store.
